Terms of Service
Version 2026-10 · last updated 10 October 2026
These terms are an agreement between the school that registers for School Pilot ("the school") and School Pilot ("we"). By registering, or by using the service, the school accepts them. See also our Privacy Policy.
1. The service
School Pilot is a web service for school management: learners, teachers, marks, report cards, analytics and optional modules such as attendance, fees, payroll, library, transport, boarding, a parent and learner portal, admissions, messaging and a timetable. We may improve and change features over time.
2. Accounts
The school chooses its administrators and is responsible for who it gives access to, for keeping passwords and access codes private, and for the accuracy of what is entered, including marks. Staff who leave should be deactivated promptly.
3. The school's data
The school owns the information it puts into School Pilot. We use it only to provide the service, as set out in the Privacy Policy. We do not erase historical academic records. The school may ask for an export of its data at any time.
4. Acceptable use
The service is for genuine school administration. It must not be used to break the law, to harass anyone, to upload harmful files, to try to see another school's data, or to interfere with the service. We may suspend an account that does.
5. Fees and payment
- Fees are shown on the pricing page and depend on the number of learners: a registration fee and an annual fee, paid in advance.
- Optional paid add-ons, such as the Smart Timetable (K500 per year at the date of these terms), are applied for separately and are unlocked only after we confirm payment. Prices may change for future periods.
- A payment is recorded only when we have confirmed it. A screenshot or a request does not by itself activate anything.
- Fees are not refundable once a service period has started, unless we agree otherwise in writing or the law requires it.
6. Expiry and suspension
If a subscription ends without renewal we may suspend access. Information is kept so the school can renew or ask for an export. A school with an expired add-on keeps access to what it already produced but cannot use the add-on until it renews.
7. Availability and backups
We work to keep the service running and take daily backups, but we do not promise uninterrupted service. Planned maintenance will be kept short. The school should keep its own printed or downloaded copies of important records such as published report cards.
8. Responsibility
The service is provided "as is". To the extent the law allows, we are not liable for indirect or consequential loss, and our total liability for any claim is limited to the fees the school paid for the current service period. Nothing here limits liability that cannot be limited by law.
9. Ending the agreement
The school may stop using the service at any time. We may end the agreement if these terms are broken or the school has not paid. On request we will export the school's data.
10. Changes and law
We may update these terms and will tell schools about important changes; continuing to use the service after a change means acceptance. These terms are governed by the laws of Zambia.
